LIFE SCIENCES COMPLIANCE TECHNOLOGY PROVIDER / RISK AND COMPLIANCE

AI cut HCP proof-of-service reviews from weeks to days.

A compliance technology provider was managing health care professional engagement documentation through email and Excel. Reviews averaged two weeks per engagement, creating a continuous backlog across programs. PivotX embedded a conversational agent in the existing ENGAGE platform to collect documentation, improve submission completeness, and create a stronger audit record.

RESULTS

Weeks to days

Proof of service review cycle cut from approximately two weeks to days after structured submission replaced email-and-Excel.

More complete submissions

The agent asks HCPs directly for the documentation required for each engagement.

Recorded audit trail

Time-stamped interactions create a defensible record without a separate documentation step.

Compliance staff spend less time collecting documentation and more time reviewing it. Clients continue using the ENGAGE platform.

THE SITUATION

Email and spreadsheets had created a two-week documentation backlog.

Proof of service confirms that a health care provider completed the contracted work. The team collected this documentation through email and Excel, then followed up whenever a submission was incomplete.

Each proof-of-service review took about two weeks. With many healthcare professional engagements underway at the same time, the compliance team was constantly managing a backlog of documentation.

THE WORK

What we built

01

Proof-of-service collection inside ENGAGE

Before working with PivotX, healthcare professionals submitted proof-of-service documentation through email and Excel. The compliance team had to follow up manually whenever information was missing.

PivotX embedded a conversational AI agent in ENGAGE, the platform clients already use. The agent identifies the required documentation, guides the healthcare professional through the submission, requests missing information, validates the response, and sends the completed record to the compliance team.

Documentation is now collected inside ENGAGE without requiring clients to adopt another platform or change the rest of their compliance workflow.

02

Faster review with a stronger audit record

Before PivotX's involvement, reviewers had to assemble and verify documentation from email threads and spreadsheets. This slowed each review and made it difficult to produce a complete record of the submission process.

PivotX structured the requests so healthcare professionals provide complete documentation earlier. Conversation summaries give reviewers a clear record, while time-stamped exchanges show when information was requested, submitted, and validated.

Review time fell from approximately two weeks to days. The compliance team spends less time reconciling documentation, and the organization has a stronger audit record for each engagement.

WHERE THIS TRANSFERS

Where this applies

01

You are collecting compliance documentation through email and spreadsheet follow-up, and the backlog is structural.

02

Reviewers spend time chasing missing information, leaving less time for compliance decisions.

03

Your audit trail lives in email threads that are difficult to search and impossible to produce quickly.
