A global business services company serving more than 150 brands had workforce information on more than 34,000 employees living in Oracle, Payroll, Workday, spreadsheets, and local reporting processes across countries and business units.

Recruiter productivity was tracked through spreadsheets and email. Onboarding varied by region. Monthly reporting required extensive manual work without producing numbers that leadership consistently trusted.

What we built

Shared definitions for workforce reporting

Before working with PivotX, the company's Oracle, payroll, and Workday systems counted employees, roles, and offers differently. HR, Finance, and business leaders therefore received conflicting workforce numbers.

PivotX built a data foundation on Google Cloud with shared definitions for active headcount, open roles, offer acceptance, and other workforce measures.

HR, Finance, and business units now produce reports from the same underlying definitions.

Automated reporting replaced separate spreadsheets

Before PivotX's involvement, teams maintained separate spreadsheets because they did not trust the official reports. Monthly reporting required extensive manual reconciliation, and onboarding processes varied by region.

PivotX created Power BI dashboards that update as source data changes. Google AgentSpace allows users to query the workforce data directly, while standardized onboarding and duplicate detection replace regional email-based processes.

Teams no longer need parallel spreadsheets to track workforce numbers. New business units and geographies can also be added without rebuilding the reporting environment.
